Remote work under control
If you are looking for an easy-to-use system that can handle all time cards, scheduling, and reporting in a split second – you’ve come to the right place! Meet TimeMoto.
Most companies keep a record of their employees’ working time, not only to verify their attendance but also to have information about the number of employees present in the workplace at any given time in case of an emergency, such as a fire. Usually, recording is done on time cards left at the door or in another place accessible to employees, but this began to change after the tightening of GDPR regulations. Due to personal data protection, the names and surnames of individual employees began to be replaced by their logins or pseudonyms assigned in another way.
The introduction of these changes prompted some companies to look for more effective solutions than the paper form used until now, which were not only to be compliant with GDPR regulations but also to support the efficiency of HR work. One such solution is the TimeMoto Time and Attendance System from Safescan. It not only allows for the registration of employee working time but also helps in reporting and planning it, and is additionally fully GDPR compliant.
How does the TimeMoto system work?
The employer purchases a selected terminal depending on the size of their company and the type of registration to be available (besides registration via PIN code and RFID card, one can also opt for a terminal that allows for fingerprint reading or facial recognition). Along with the device, one receives access to software that allows us to replace paper time cards. Data about an employee’s entry or exit from work after registration at the terminal is collected using a card, PIN code, or biometric option. This data is not only visible but can also be exported to a .pdf, .xls, or .csv file, and from there, it is a short path to quick management and verification of this data. Importantly, the software can also verify an employee’s working time. Thanks to setting the required working time – whether for a given department, unit, or branch – authorized persons have the ability to verify whether employees are performing their duties for the specified time or whether they have not exceeded their allotted break time.

It is also worth remembering that the epidemic that affected the whole world also influenced how and where we work. In many companies, employees began to use the possibility of remote work, which entails a change in the way working time is accounted for by employers. Companies that only collected employees’ time cards do not have the ability to obtain a signature on such a card, and even modern RFID systems do not always pass the test here. In the case of the previously presented system, it is enough to use the possibilities offered by the TimeMoto cloud. Employees have the ability to log in to work using an application or a website available via a web browser, while the employer has a view of the employees’ working time and their presence in the “home office”. This solution can also be useful in companies where employees perform their duties “in the field”. They have the ability to log in and start counting working hours in the system from anywhere in the world.

This solution allows for peace of mind for employers who know that none of the employees will abuse their trust in such a situation, and employees can be calm about accounting for, e.g., overtime.
New electronic time and attendance systems are also useful in exceptional situations that may threaten employees, e.g., during a building evacuation. Thanks to the live presence view in the application, we can check if all our employees have left the building. If someone has not done so, we will easily see the lack of a status change, and even if one of the employees forgets to use the terminal, it will be easier for us to identify such a person.
Changing regulations and the situation in the world have influenced how we work and what workplaces look like. Changes have even affected the often overlooked issue of time and attendance registration. It is worth considering choosing the right solution, which can bring benefits in the form of saved HR working time or better control of their work for employees.
